Our Support Team
At Sullivan + Associates, we have a large support team that consists of our Office Manager, Assistant Office Manager, Assessment Coordinator, Assessment Team, Client Care Specialists, Intake/Referral Team, Funders Team and Marketing Technologist. Each of these positions plays a critical role in running the day-to-day operations of our clinic and must operate seamlessly to ensure effective communication between our clinical and support teams, as well as with our clients. We operate in a busy, fast-paced clinic, and our support team does an excellent job of ensuring that all facets of our day-to-day business receive the proper attention.
Our Office Manager, Roberta Barrow, is responsible for overseeing all aspects of the day-to-day operation of our clinic and works collaboratively with our Assistant Office Manager, Stacy-Ann McFarlane, to help ensure effective communication between our administrative and clinical teams. High-quality client care is Roberta’s top priority, and she serves as the primary point of contact for both clients and staff members. Despite overseeing all aspects of our clinic, she endeavours to follow up with our clients after their initial appointment to ensure they are completely satisfied with our service.
Our Executive Assistant, Stacy-Ann McFarlane, works collaboratively with our Office Manager, Roberta Barrow, to help oversee all aspects of the clinic’s day-to-day operation. Stacy is focused on the administrative aspect of management, including communication with the Intake/Referral Team, the Funders Team, other support team members and the clinical team.
Our Assessment Coordinator, Sairine Mañebo, oversees the assessment team to ensure that our assessment services run smoothly and efficiently. She is the primary point of contact for assessments that are completed in the surrounding region and other areas of Ontario. Sairine communicates with various school boards and provides quotes for schools interested in our assessment services. Participates in the intake and scheduling process. Sairine is also responsible for communicating with the support team, the clinical team and our clients so she can facilitate and track the completion of assessments from clients residing outside of Thunder Bay from start to finish.
Our Assessment Intake Specialist, Krishna Sarasan, serves as the primary point of contact for assessments conducted locally. She plays a crucial role in helping clients determine the assessment that best suits their purpose. Krishna is also responsible for communicating with the support team, the clinical team, and our clients, facilitating and tracking the completion of local assessments from start to finish.
We have five assessment team members who assist the Assessment Coordinator in facilitating the entire assessment process. They are a warm, personable, and flexible group focused on helping to make the assessment experience a point one for our clients. Several important duties our assessment team members complete to improve your client experience include:
- Assisting the Assessment Intake Specialist with the intake process, including sending out pre-appointment packages to clients
- Track down missing questionnaires to help facilitate the completion of the assessment report
- Send out final reports to clients and other relevant parties when consent has been provided (i.e., insurance companies, school boards, etc.)
- Book feedback appointments where final reports are provided and assessment results are communicated
We have four Client Care Specialists who are committed to helping our clients have an exceptional experience. They are a warm, personable, professional team who work hard and enjoy having fun at the same time. During daytime hours, there are routinely 3 – 4 Client Care Specialists available to assist with the smooth flow of traffic in our clinic, as well as ensure there is a “live” person to talk to when you call. This group also provides courtesy reminder calls/texts/emails to help clients remember their appointment times.
We have two intake/referral team members who are responsible for all aspects of orienting new clients seeking psychotherapy to our clinic. This includes gathering demographic information and inquiring about the reason for seeking service to help facilitate an appropriate client-therapist match. The intake/referral team sends out pre-appointment packages before the first appointment to help better prepare both the client and the therapist for the session. This group is also available to answer any questions you may have about various funding sources.
Our Accounts Receivable lead is Paul (Oghale) Ekinodo. He is responsible for managing and collecting payments to the clinic, balancing any account discrepancies and following up on overdue accounts. Paul’s role is crucial for maintaining accurate financial records and reporting for our clinic.
We have three funding team members who oversee various funding sources that clients consistently access at our clinic. This group does a lot of work behind the scenes, but they play a vital role in helping to ensure that services run smoothly for clients who access funding in various areas, such as Indigenous Services Canada (Non-Insured Health Benefits and Indian Residential Schools), WSIB, and Motor Vehicle Accident insurance.
Our Marketing Technologist, Jessica Sullivan, is responsible for many marketing duties at our clinic. She handles the graphic design work for our digital ads and articles, and also films and edits the short videos produced at our clinic. Jessica oversees our social media accounts and serves as an in-house IT specialist for clients when technical issues arise that require prompt attention. She also serves as a primary point of contact with our marketing team partners.
